Ride the World Differently Ltd – Booking Terms & Conditions

These Booking Terms & Conditions set out the agreement between you (“the Traveller”, “you”) and Ride the World Differently Ltd (“RTWDL”, “we”, “us”, “the Organiser”). By booking a holiday with us you agree to these terms.
1. Financial Protection
Ride the World acts as a Package Travel Organiser and complies with the Package Travel and Linked Travel Arrangements Regulations 2018. Your payments are protected through a Trust Account, and funds will not be released to us until your trip has been completed.
2. Your Holiday Booking
A booking is confirmed when:
- You accept these Terms;
- You complete the booking form; and
- We receive your deposit of 25% of the total holiday price.
We will then issue a Booking Confirmation, which forms your contract with us.
3. Payments
- Deposit: 25% of the total holiday cost, payable at the time of booking.
- Balance: Due 8 weeks (56 days) before departure.
- Bookings made less than 8 weeks before departure require full payment at the time of booking.
If the balance is not received on time, we reserve the right to cancel your booking and retain the deposit.
4. What’s Included
Your Booking Confirmation and itinerary will clearly state what is included. Typically this may include:
- Adaptive cycle hire tailored to your needs
- Accommodation as specified
- Meals as specified
- Guided rides, support vehicle, and on-trip assistance
- Transfers as stated in the itinerary
5. Special Requirements
We specialise in accessible cycling. Please provide full and accurate information about your accessibility needs so we can assess suitability and agree adaptations. If we cannot accommodate your needs safely, we will refund your deposit in full.
6. Pricing
Prices are per person and include all taxes known at the time of booking. We may only increase the price in strict accordance with the Regulations (e.g., currency fluctuations, fuel costs, taxes).
If the increase exceeds 8% of the total holiday price, you may accept the change or cancel for a full refund.
7. If You Cancel Your Holiday
You may cancel at any time. The following cancellation charges apply, based on when we receive your notice:
- More than 56 days before departure: Loss of deposit
- 56–29 days before departure: 50% of holiday cost
- 28–15 days before departure: 75% of holiday cost
- 14 days or fewer: 100% of holiday cost
If we can resell your place, we may reduce your cancellation fees where reasonable.
Name Changes / Transfer of Booking
You may transfer your booking to another suitable person up to 7 days before departure, subject to any supplier costs. We will provide evidence of any such costs.
8. If We Cancel or Make Significant Changes
We may make minor changes (route tweaks, accommodation of similar standard) without compensation.
If we make a significant change or must cancel the trip, you will be offered:
- A replacement holiday of equal or higher quality (if available),
- A lower-priced alternative with a refund of the difference, or
- A full refund.
Where appropriate under the Regulations, you may also be entitled to compensation.
9. Your Responsibilities
- You must ensure you are fit to participate in the activities booked.
- You must follow safety guidance from our leaders.
- You must have appropriate travel insurance, including medical cover and cancellation.
10. Our Liability to You
We are responsible for the proper performance of the travel services included in your holiday.
We limit our liability only as permitted by the Regulations and international conventions.
We are not liable for:
- Events of “force majeure” beyond our control
- Situations where you fail to follow safety instructions
- Services you book independently and not through us
11. Complaints
If you experience a problem during your trip, please tell your Ride Leader or contact our duty manager immediately so we can put things right.

12. Data Protection
We will process your personal data, including sensitive accessibility information, in line with GDPR and our Privacy Policy.
13. Governing Law
These Terms are governed by the laws of England and Wales and subject to the jurisdiction of its courts.
